Thanks Marsha, I think this is also why many HIM’s strive to set up passwords for all staff. When a staff member may intrude on a patients file without authorized access a flag is thrown. It is also important to stress to staff to not share passwords. Thoughts?

A health information manager (HIM) is the technical link between patients, doctors, technology and data that assists in the coordination, tracking, patient confidentiality and security that ensures processes (KUMC, 2016). HIM’s mainly manage systems, processes and people in a health care setting whether in a hospital, clinic, doctor’s office, etc. They are also in high demand in the workforce. With the switch to electronic health records (EHR’s) the role of an HIM is even more essential. The tracking, recording and maintenance of EHR’s is vital. The HIPAA (Health Insurance Portability and Accountability Act) law established national standards that protect medical records and personal health information and that law must be adhered to by medical professionals and medical organizations. It applies to health plans, health care clearinghouses, and health care providers that conduct certain health care transactions electronically (HHS). HIM’s manage health information systems (HIS’s) that must comply with HIPAA regulations, thus ensuring patient privacy.
Having a designated HIM to help ensure privacy of patient records reduces risk. Only certain medical information can be electronically released and transmitted to certain qualified individuals. So monitoring and maintenance of the information and records is required to thwart breaches of information and legal ramifications. However, the maintenance of EHR’s can also assist in the diagnosing and treating of illnesses and medical conditions and the records can easily be obtained and assessed by medical professionals. this can also lead to the reduction of non-essential medical care and treatment and also reduce the risk of misdiagnosing patients. This is another reason why HIM’s are necessary in the health care industry. The HIM’s role is huge in today’s health care industry.

Why would a health care clinic need a health information manager? How might having a designated manager help ensure privacy of patients records.
Any health care organization must have a health information manager. The position of health information manager, formerly known in most organizations as medical records manager has adapted and serves many roles. The health information manager must now merge the roles knowing all of the applicable standards regarding completion of an accurate and timely medical record but in most cases has added the need to understand those same needs in a computerized manner using an Electronic Medical Record (EMR). Additionally they are typically tasked with protecting the privacy of patients.
A designated manager helps to ensure privacy by establishing or modifying existing policies to ensure compliance with the various standards. Perhaps more importantly they ensure no record leaves the organization without the needed consents to authorize the release of the record and to the appropriate person if the patient is not present. The manager must also work to ensure the EMR, if utilized meets the standards and working in conjunction with the Chief Information Officer monitor the information system to be sure appropriate protections are in place to prevent data breaches.
